Re: Cataloging EBSCO titles

We have loaded the EBSCO MARC records for several EBSCOhost databases, and
we did it with our existing load table.  The records were loaded without
any problems - you will get error reports for each record because there is
no OCLC number in the records.  We loaded the records for Academic Search
over a year ago when the 856 field link took you only to a menu of
EBSCOhost databases.  They now have 856 fields that link directly to the
journal citations in each database, and this fall we loaded the Academic
Search records again to get these new links, and also the Master File
Premier, Health Source, Business Source, Newspaper Source, and Primary
Source records.

We are merging print and electronic records because we felt is was less
confusing to the user to have 1 record, and since many titles are
duplicated in these databases, there would be 3 or 4 records for the same
title in the groups of EBSCO records.  After loading each set of records I
immediately put them into a review file and did a rapid update to suppress
them. I also entered a bib location during the rapid update because since
we're part of a consortium, the load table doesn't do that.  Then one by
one, we are searching to see which ones have a print record, and we're copy
and pasting the url's and adding a checkin record for holdings.  If we
don't have a print record we unsuppress the EBSCO record and add a checkin
record.  We also edit the 856|z and add a 222 field to the EBSCO records so
the Journal Title index picks up these records.

This is a lot of work.  The checkin records are done for all Academic
Search titles, and for many titles in the other databases.  We are in the
process of working on the 856 fields.  We use function keys for the public
note we want in the 856|z, and also for part of the url - we only have to
copy and paste a few characters unique to each title, and function keys are
easier on the wrist than copying and pasting a long string of charaters.

We have also just loaded records for ProQuest titles, and loaded
Lexis-Nexis records ftp'd from Bryn Mawr last year.

This is a huge project, and if you choose to use the 1-record approach,
expect to spend a lot of time on it. It is a work in progress, and may take
another year to complete, but it is a tremendous help to our staff and
users who are trying to identify holdings for ejournals.  We are also
trying to keep up with additions and deletions to each database.  EBSCO has
a site where you can get these changes, and ProQuest sends them via email.
